Item in focus – 300093 Patient records

You may have experienced on occasion that an insurer requires copies of patient records. Patient records can be used to help insurers make decisions about their claim and its progress or is sometimes used as part of the litigation process.

As a result of the Allied Health fee review, a new item number was created to cover the photocopying of treatment records for Insurers. Item 300093 - Patient records - is for the payment of locating and printing/photocopying of patients records. The item and fee is intended to cover all records relating to the workers' compensation claim including file notes, results of relevant tests e.g. pathology, diagnostic imaging and reports from specialists.

Some details that providers should be aware of include:

  • When a patient's workers' compensation records are requested from an insurer, providers are able to charge a $20 fee plus the amount of $1 per page supplied.
  • Providers will need to gain prior approval from the insurer if the records are going to be greater than 50 pages.
  • Any records provided must in accordance with accepted privacy standards for health professionals.
